Full-Time Event and Projects Assistant (40 Hours/Week, In-Office)

 

About the role: 

We’re looking for an Events & Projects Assistant to join The Mills Fabrica team. This role requires a versatile skill set to support internal and external events and assist with company projects and initiatives. 

What to Expect: 

  • Hours: 9am - 6pm, Monday - Friday
  • Location: 36-40 York Way, Kings Cross, N1 9AB (Onsite)
  • Reporting to the Events & Operations Manager
  • Occasional evening or weekend, with time off in lieu.

Key Responsibilities include, but are not limited to:

Events:

  • Assisting in the planning and execution of The Mills Fabrica’s events:
    • Liaise with external suppliers and vendors, and coordinate logistics, including room/venue bookings, catering, AV setup etc. 
    • Creation of event materials (slides, posters, invitations etc.)  
    • Draft guest lists and manage RSVPs. 
    • Coordinate on-the-day event execution and guest communications. 
    • Work with speakers, moderators, and panellists to ensure they have the necessary materials and schedules. 
    • Prepare post-event reports, gather feedback, and help refine future event strategies.
  • Maintain The Mills Fabrica’s calendar of global industry events.
  • Research opportunities for participation at relevant industry events and conferences.
  • Assist in the organisation and execution of The Mills Fabrica’s participation in external events and expos. Such as:
    • Coordinate exhibitor logistics, such as setting up booths and arranging materials.
    • Organise ticket allocations and schedules for team members attending events.
    • Support relationship management with event organisers and collaborators.
  • Manage post-event follow-ups, such as sharing photos/recordings, presentations, and thank-you emails.
  • Assist the Marketing team in event marketing and promotion.
  • Assisting with tracking expenses and collecting invoices. 
  • Support database updates for attendees, partners, and stakeholders.

Projects :

  • Supporting the day-to-day coordination of ongoing company projects, ensuring timely execution and high quality outcomes. 
  • Help manage databases and tools to track initiatives and their impact. 
  • Collaborate with teams across London and Hong Kong to align on global initiatives.
  • Handling ad hoc and administrative tasks (such as preparing reports and internal documents, scheduling meetings, updating CRM systems.)
  • Responding to incoming enquiries in the shared company inbox.

 

Ideal candidate:

  • Excellent written and verbal communication skills.
  • Highly organised and keen attention to detail.
  • Proactive and problem-solving mindset. 
  • Ability to multitask, work under pressure and think creatively.
  • Team player and occasional flexibility with hours required when The Mills Fabrica is hosting and/or participating in events. 
  • Proficiency in Word, Excel and Powerpoint. 
  • Passion and interest in sustainability and innovation is a bonus.
  • Illustrator, Canva and Adobe skills are an advantage.
